We are seeking an Office Administrator to join our team and oversee the day-to-day operations of the company’s offices in Poland, Ukraine and the Baltics, and create an exceptional employee experience.

Create an Employee Experience Eco-System:

  • Develop and implement policies and programs to improve employee experience and engagement, ensuring that the office environment is conducive to employee well-being and productivity
  • Foster a positive company culture and maintain a high level of employee satisfaction
  • Address employee concerns and issues in a timely and professional manner
  • Develop and maintain effective communication channels between employees and management

Lead Warsaw Office Expansion Project:

  • Develop a project plan and timeline for the office expansion, managing the budget and resources for the project
  • Liaise with contractors, vendors and other stakeholders to ensure the project is completed on time and within budget
  • Ensure that the new office meets the company's needs and is aligned with its culture and values
  • Oversee the move and ensure a smooth transition for employees

Vendor Management:

  • Maintain ongoing relationships with external vendors of goods and services
  • Manage the practical matters in relation to car leasing, IT related challenges with external service providers, and all matters related to mobile phone services

Lease and Document Management:

  • Manage all current matters related to office lease, including contact with the landlord and governance of daily commencement of the lease agreement
  • Govern non-commercial agreements, including storage and protection of personal data included in them
  • Govern document flow, including decisions about archiving and destruction of documents that have expired

Travel and Event Coordination:

  • Act as an organiser and coordinator of travel-related activities for the General Manager and Leadership Team, as well as organising and coordinating company-wide events

The Office Administrator is expected to oversee and manage the day-to-day operations of the company’s three offices (Warsaw, Riga, Kiev). This role will also lead the Warsaw office expansion project, manage relationships with external vendors, and coordinate various activities such as travel arrangements and company-wide events.

Do you have what it takes?

  • Experience in office management, operations management, or related field
  • Proven participation in office expansion/move projects
  • Strong project management skills, including budget and resource management
  • Excellent communication and interpersonal skills
  • Ability to work independently and manage multiple priorities in a fast-paced environment
  • Strong problem-solving and decision-making skills
  • Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
  • Experience in car fleet management useful but not essential
